1. Considerable discussion concerning the floor covering for the gym for Grand March. Sandy Carpenter had several quotes and proposals from two companies. It appears as if there are three choices:
  • purchase covering to use as the "walkway" for the couples (approximately $1500) and use the "spectator" strips that are already in use at athletic events
  • purchase an entire floor covering (approximately $8,000); this option would mean that the Class of 2011 would designate $1500 toward the purchase with the remainder of the funds coming from other sources. This option would provide access to the gym for additional school activities such as dances and SGA game events
  • purchase carpet pieces to cover the "walkway"; prices not yet available for this
Under the guidance of Mr. Grudis, it was decided that a purchase of an entire floor covering was not what was desired at this point in time.
2. Committee work followed.
Food committee
  • Questions about the chocolate fountains. Jill Stevenson has indicated that we can borrow one if we purchase the chocolate from her.
  • Unsure whether this is an option with the culinary department at SU.
  • Food budget: one lump sum or by individual item (with quantities that can be adjusted)
  • Dr. Hetzler will not be able to attend the meeting next week but he has a list of questions that he will address with Iva Riggins personally
Decorations committee:
  • Mr. DeFiore and Mr. Foltz will be working on styrofoam boards that will be painted to resemble bazaar scenes. Student help will be engaged.
  • Discussion was heard concerning the tents, gossamer and columns. It is unsure whether the columns purchased to delineate the dance floor can be lit; suggestion was to purchase glass, crack it and glue it to the columns to offer reflection.
  • Table decorations were shared: decorative boxes that will hold beads, coins, etc.
  • Questions about the disposal of decorations and other items will be shared at the meeting with SU next week.
Grand March committee
  • Much discussion on where couples will enter/exit. Committee will arrange to visit gym with bleachers open
  • Doors in the back of gym can not be blocked with items/decoration: against fire code
  • Discussion about what spotlights are available. Mr. Grudis suggested that Mrs. Birch check with Mr. Raffa/Mr. Reavis for items we might already have that could be used.
  • Sound system: who will operate it?
  • Photographer at Grand March?
  • Meet and greet area: cafeteria after couples have gone through?
Invitations/Tickets
  • Tickets are $20 per couple; $15 individual. They will be sold the week of May 9 - 12 at lunch shifts
  • Quinn Prunty will work with Makenzie Vizard on the invitation design. The invitation will be available at our next meeting.
  • need to contact Curtis at print shop to determine cost of printing invitation, if any
  • Decided that 9:00 would be latest that a couple could enter the prom at SU
3. Senior Shirts. We have 8 shirts and 5 hoodies left to sell. Leah Carpenter will offer them during lunch shifts this week.
4. Update given by Mrs. Titus on what gifts have been purchased to raffle at the prom. Impressive list, with more to be purchased.
5. Meeting at SU on Tuesday, March 29 at 2:00 with all committees, senior officers, interested parents and other key students. Planning on attending are Mr. Grudis, Mrs. DeFiore, Mrs. Gaskill, Mrs. Moreno, Mrs. Flanagan, Mr. Flanagan, Mr. DeFiore, Mrs. Morris, Mrs. Titus, Mrs. Carpenter, Mrs. Birch, Mr. Curtis, Leah Carpenter, Quinn Prunty, Paige Curtis, and Eun Yea Choi. 6. Small discussion held concerning an unofficial senior trip. Details with Leah Carpenter, Quinn Prunty and others.
7. Next scheduled senior meeting: Monday, April 11 at 7:00 in the CLGA. On the agenda:
  • senior letter with details about Grand March/prom
  • final decision/purchase of Grand March floor
  • approval of invitation
  • final decisions on the logistics of Grand March, spotlights, sound
  • beginning of detailed lists for volunteers/chaperones and the development of the cards for Grand March
  • decision on chocolate fountain
  • notes from the meeting at SU on March 29
